VoltBee Battery Tracking Automation
A battery inventory and KM tracking automation system for an electric auto-rickshaw battery supplier, built to preserve distance data, improve billing accuracy, and streamline daily operations.
VoltBee supplies charged batteries to electric auto-rickshaws, but the business was facing a costly operational issue: each battery's daily KM reading reset to zero when it returned the next day.
That created a chain of problems across the business, including lost distance data, incorrect billing, unclear cost calculations, and inventory confusion during swaps and returns.
To solve it, Chilipi built a complete automation and reporting system using Google Sheets, Apps Script, HTML forms, and Looker Studio.
The system now provides:
- Total KM continuity: Tracks each battery's cumulative distance even when the physical meter resets the next day.
- Accurate billing: Calculates usage cost reliably based on actual travelled distance.
- Customer and swap records: Stores customer details, battery swaps, and pending amounts in one workflow.
- Operational dashboards: Visualizes performance by customer, battery, distance travelled, earnings, and pending payments.
- Live inventory visibility: Shows whether each battery is fully charged, in charging, or out of service.
The entire flow runs automatically, removing manual tracking work and giving the client much better control over inventory, finances, and day-to-day decision making.
The client was extremely happy with the system, and the project stands out as a practical example of how lightweight automation tools can solve real operational pain points for offline businesses.
