BVS Veterinary Clinic Workflow Automation
A workflow automation system for a veterinary clinic that captures webform submissions, generates signed PDF applications, schedules appointments, and sends instant customer notifications.
BVS needed a better way to handle repetitive clinic admin tasks that were slowing the team down every day. The goal was to streamline the entire workflow and reduce the amount of time spent on manual coordination.
Chilipi built a custom automation system using Google Sheets, Apps Script, and the Google Calendar API, helping the clinic save more than 3 hours daily.
The system automates key parts of the clinic workflow, including:
- Webform capture: Collects submissions automatically and organizes them in Google Sheets.
- PDF generation: Creates application PDFs programmatically, including captured client signatures.
- Appointment scheduling: Pushes appointment data directly into Google Calendar for smoother planning.
- Instant customer notifications: Sends updates immediately so clients stay informed without manual follow-up.
By removing repetitive steps, the system reduces errors, improves response times, and gives the clinic staff more time to focus on patient care instead of admin overhead.
This project is a strong example of how lightweight Google Workspace automation can create meaningful operational gains for healthcare and service businesses.
